prod_es_oversikt Evatic Service is the core module within the Evatic software suite. Evatic Service is a flexible and multifunctional Service Management System covering all business processes from sales to after-sales (service). Evatic Service features a large number of functions, but sophisticated parameter control enables most functions to be turned off and on based on individual demands.

Evatic Service is currently being used by companies within many different industries. These companies have one thing in common: the need to offer their customers good service that is profitable at the same time.

Evatic Service is therefore a unique system that enables you to process all important information regarding sales and after-sales (service) which leads to a valuable basis for all kind of necessary reporting from the profitability of one single machine or customer to the efficiency of your service engineers. SERVICE MANAGEMENT

Evatic Service contains tightly integrated contract management and engineer steering as well as equipment and model management. With all these functions and object together in one application you will be able to make your service more profitable.

All equipment delivered to the customer is registered within the equipment module. Each item of equipment is registered with detailed information such as serial number, model description, date of installation, accessories, etc. User details like name, address, installation site, and equipment location are also registered.

Evatic Service has a project module where all service tasks are registered, planned, assigned, and reported. Tasks can be easily assigned by drag and drop directly on a technician, or by drag and drop on an in built calendar that can be fully synchronized with your local Outlook calendar.

Assigned service tasks can be sent directly to service technicians via SMS text messages, as e-mail or fax, or sent directly to a laptop (PC) or a mobile terminal (PDA). When reporting in service tasks the system will validate each individual order line to check if a service contract is current and if time spent, parts and materials are to be invoiced to the customer. This built-in logic enables fast and easy reporting. If customers or equipment are registered with quantity control and the quantity is exceeded for a specific article number, Evatic Service will automatically generate a warning.

Equipment that needs to be controlled or serviced periodically can be registered. A message will automatically be displayed as the time for the task approaches.

All agreed terms and conditions are registered in the contract module. Invoices will then be generated automatically based upon the contract. The system can preview the contracts to be invoiced. Errors can easily be corrected, thus avoiding incorrect invoicing. Reports can then be produced detailing the contracts' revenues periodically. The contract module contains a lot of functionality, including additional functions specifically developed for the photocopy, office machine and vending industry.

Evatic Service can produce detailed reports displaying revenues, costs and profitability of customers, customer groups, equipment, equipment groups, service technicians, service contracts and much more. All reports in the Evatic software suite can easily be exported to Microsoft Excel for further analysis. Users can also create their own reports directly from Evatic Service or by using third party products, e.g. Crystal Reports.


EVATIC SERVICE FOR SALESMEN

Through a single application integration of sales and service processes Evatic provides you with a unique customer relationship management system (CRM).

Utilization of the built-in calendar functionality gives the salesperson full control of all daily tasks. Within the customer screen the salesperson will find all relevant information regarding the customer at a glance: addresses, telephone numbers, contacts, documents, offers, e-mail, generated invoices, activities, etc. Due to the integration of service and sales processes in one single application the salesperson has access to information regarding the customers’ installed equipment including calculated profitability, contracts with prices and conditions, service history and more.

Pre-defined and configurable Microsoft Word document templates are used to create different documents within Evatic. Relevant information can be merged into these templates, thus simplifying the creation of standard documents like offer letters and mail shots. All documents are saved automatically to the different areas of Evatic, for example the customer screen or a specific sales project and can be printed or sent via e-mail directly.

In the project module, an offer to a customer can be set up, including order lines if required. The order lines can be merged into pre-defined document templates, thus automatically generating a complete customer offer. On acceptance of the offer, the order can be completed and the requisition will be generated directly.

Using Evatic makes it simple for the sales manager to follow up the members of the company sales team. With the help of statistics that measure the activity levels and the achieved results, it is easy to point out the productive or non-productive members of a sales team.

Evatic Sales Calc is an add-on module for Evatic. This module offers a vast number of advanced additional functions for the calculation of sales prices and provides the salesperson with information regarding customer prices, when discounts are given, commission levels for salespersons and the profit margin for the company. In Evatic Sales Calc the salesperson registers all the equipment to be offered to the customer. Should the customer require equipment financing, several finance models are available to choose from. Service contracts can also be generated and registered within the Sales Calc. On acceptance of the offer, the equipment is automatically registered against the customer in Evatic Service removing the need for double entry. The proposed service contract will also be generated automatically within the contract module in Evatic Service. The sales order is also completed automatically.
